The Canadian International School System – Vietnam (CISS-VN) operates three programs in Ho Chi Minh City, Vietnam. The Canadian International School System – Vietnam (CISS-VN) consists of:

  1. The Canadian International School (CIS) serving Kindergarten-Grade 12 students where the Ontario curriculum is taught. The IB Diploma Programme is also offered to students in Grades 11 and 12.

  2. The Canadian International School - Bilingual Programme (BCIS) delivers the Vietnamese National Curriculum, from Kindergarten – to Grade 12 and the ESL program which is tailored to meet the needs for English language fluency. BCIS also offers students with 2 pathways in secondary (from Grade 9 to Grade 12):  MOET Secondary diploma or IGCSE for A Levels.

  3. The Albert Einstein School (AES) now offers education from Early Years (3 years) to Grade 12 (18 years). The program will be the Vietnamese curriculum from Early Years to the National Diploma and provide an international pathway from Grade 11 studying the Victorian Certificate of Education (VCE Australia).

I. JOB DESCRIPTION:

  • Consults parents about academic programmers of each school in the system so that they would have the best and suitable choice for each student. 

  • Provide assistance with the operational non-academic aspects of procedures such as student complaints handling, appeals, timetabling, timesheets, re/enrolments, class management, attendance (record late and dismissal early)

  • Follow up students’ status (new, current, defer, withdrawal, etc.), updating students’ results and manipulating statistical data to report as well as support contacting parents to remind tuition fees on time.

  • Data management of student-related information and issues include administrative support to prepare and schedule examination, attendance list and to update results, issuing report cards, updating academic record and other special events (discipline, reprimand, reward, etc.)

  • Provide administrative assistance including supporting events (Parent events, New teacher Orientation, Graduation, etc.) and workshops and preparing supporting documents for students such as confirmation letters, copies of report cards when required and managing the related administration.

  • Contact the Bureau of Education and Training, Departments of Education and Training about the administrative procedures related to students.

  • Be responsible for interpretation and translation for the Leadership team and teachers in meetings with parents or for drafting, translating, and distributing letters to parents in the system.

  • Record and promptly notify the relevant departments when the student needs to stop using the services.

  • Ensure accurate and timely communication with clients on all requests, including advising students, parents. Use persuasion skills in dealing with internal and external contacts.

  • Ensure the dissemination of specific and accurate information while maintaining confidentiality, integrity, compliance and meeting legislative reporting requirements of student records for all students.

  • Collaborate with other administrative staff within and outside ASO when and where appropriate to ensure smooth execution of ASO administrative duties.

  • Participate as an effective member of the service team through contribution to the team's planned goals by completing tasks in an accurate and timely manner.

  • Other administrative and operations duties as determined by the Operation Manager.

II. JOB REQUIREMENTS:

  • Bachelor degree

  • At least 1-year experience as Academic Service Officer or Customer Service

  • Can do multi-task, problem-solving skill

  • Good verbal and written communication skills in English

  • Familiar with office computers skills

  • Ability to organize work independently as well as a team player, ability to observe and handle problems quickly and effectively

  • Have a can-do mindset

  • Good communication skill

  • Careful, meticulous, confidential, and well organizer
